Terms of Reference (ToR)

This document is a Request for Proposals (RFP) issued by the Alliance for Rural Electrification (ARE) to procure live streaming services for the Energy Access Investment Forum (EAIF) 2026, scheduled for April 21-23, 2026, in Nairobi, Kenya.

• The Alliance for Rural Electrification (ARE) is seeking a service provider to deliver live streaming for the Energy Access Investment Forum (EAIF) 2026, which will take place from 21-23 April 2026 at the Safari Park Hotel in Nairobi, Kenya, with a set-up day on 20 April.
• The scope of work requires live streaming for two tracks: Track 1 sessions from 21-23 April 2026 and Track 2 sessions from 21-22 April 2026, including all necessary software, cameras, staff, and coordination with the hotel's sound team.
• The maximum budget for the live streaming services is EUR 4,000, which must include VAT, management fees, and all other costs.
• The procurement process involves a deadline for proposals on 7 January 2026, with a contract expected to be issued to the successful vendor by 16 January 2026. Evaluation is based equally on price, delivery, technical specifications, and past performance.
• Payment is structured as 50% of the contract value upon signature by 28 February 2026 and the remaining 50% by the end of April 2026 following full delivery of services.
