Terms of Reference (ToR)

The Alliance for Rural Electrification (ARE) has issued a Request for Proposals (RFP) for branding and marketing services for the Energy Access Investment Forum (EAIF) 2026, to be held in Nairobi, Kenya.

• The ARE Energy Access Investment Forum (EAIF) 2026 is scheduled for 21-23 April 2026 at the Safari Park Hotel in Nairobi, Kenya, with a setup day on 20 April. The event aims to attract over 1,500 participants, including 500 in-person and over 1,000 virtual attendees.
• ARE is seeking a service provider for branding and marketing deliverables across several event areas, including Jambo Hall (Track 1), Bougainville Hall (Track 2), Ivory Hall (Matchmaking), the Borgoria room (Press conference), and the Lion 900 room (Workshops).
• The scope of work includes a wide range of physical materials and services, such as stage banners, lectern branding, 700 name badges and lanyards, 600 cotton bags and notebooks, 15 feather flags, 10 roll-ups, and communications services including two photographers and a 1-minute after-movie video.
• The maximum budget for the branding and marketing services is EUR 28,000, which must include VAT, management fees, and all other costs.
• Proposals must be submitted by 7 January 2026. The evaluation process will weigh price, delivery, technical specifications, and past performance with equal importance to determine the 'best value' awardee.
• The payment schedule consists of two installments: 50% of the contract value upon signature by 28 February 2026, and the remaining 50% by the end of April 2026 following full delivery of services.
