Terms of Reference (ToR)

The Alliance for Rural Electrification (ARE) has issued a Request for Proposals for event coordination services for the 2025 Energy Access Investment Forum (EAIF). The forum is a three-day corporate conference scheduled for 8-10 April 2025 in Kampala, Uganda, aiming to foster partnerships for energy access and the green energy transition.

• The ARE Energy Access Investment Forum (EAIF) 2025 is scheduled to take place from 8-10 April 2025 at the Speke Resort Munyonyo in Kampala, Uganda. The event aims to attract a total of more than 1,500 participants, consisting of 500 on-site and 1,000 virtual attendees.
• ARE is seeking an independent vendor to provide event coordination services, which include direct coordination with the venue, overall event management, procurement of event items, and managing participant check-in and registration using the b2match platform.
• The required deliverables for the event include one coordinator, 14 ushers, a DJ for the evening of 8 April, flags for Uganda and the EU, crowd control barriers, rental phones for the b2match app, a portable printer, and 10 local SIM cards with at least 10 GB of data.
• The procurement process requires vendors to submit a technical and financial proposal by 26 January 2025. Evaluation is based equally on price, delivery, technical specifications, and past performance. The selected vendor will be paid 50% of the contract value upon signature (by 31 January 2025) and the remaining 50% upon full delivery of services.
