Terms of Reference (ToR)

This document is a Request for Proposals (RFP) and Terms of Reference (ToR) issued by the Alliance for Rural Electrification (ARE) to procure simultaneous interpretation services for the ARE Energy Access Investment Forum 2024.

• The Alliance for Rural Electrification (ARE) is seeking a service provider for simultaneous interpretation in French and English for the ARE Energy Access Investment Forum, which is scheduled for 21-23 May 2024 at the Eko Hotels & Suites in Lagos, Nigeria.
• The event is expected to attract up to 1,500 delegates, consisting of 350 on-site and 400 virtual participants, though the document lists the 'No. of Expected Participants' as 750 (350 on-site + 400 virtual). The program includes a 2-track forum on 21-22 May, a networking reception on 21 May, and the Nigerian Renewable Energy Day on 23 May.
• The required deliverables for the three-day event include two interpretation cabins, four interpreters for French to English and English to French translation, and headsets (200 for the first day, and 150 for the second and third days).
• Eligible firms must have a proven track record in executing services at large-scale business events and must be registered and compliant with the legal and regulatory requirements of the Federal Republic of Nigeria.
• The payment schedule for the selected vendor is divided into three installments: approximately 25% upon contract signature, approximately 25% by 31 April 2024, and the remaining 50% upon full delivery of services.
