Terms of Reference (ToR) Services for organising a corporate conference

This document is a Request for Proposals (RFP) and Terms of Reference (ToR) issued by the Alliance for Rural Electrification (ARE) to procure an independent service provider for the logistics, branding, and entertainment of the 2024 Energy Access Investment Forum (EAIF).

• The Alliance for Rural Electrification (ARE) is seeking a vendor to organize the Energy Access Investment Forum (EAIF) 2024, a global flagship event scheduled for 21-23 May 2024 at the Eko Hotels & Suites in Lagos, Nigeria. The event is co-hosted by the European Union and supported by GET.invest, with an expected attendance of 750 participants, consisting of 350 on-site and 400 virtual delegates.
• The scope of work for the selected service provider includes direct coordination with the venue, managing participant check-in and registration (using the Bizzabo platform), developing and placing event branding, and handling press conference logistics, including local media coverage and a post-event media report. Additionally, the vendor is responsible for entertainment, specifically providing a DJ and a local dance group.
