This document is a Request for Proposals (RfP) and Terms of Reference (ToR) issued by the Alliance for Rural Electrification (ARE) to procure event logistics, branding, and coordination services for the 2024 Energy Access Investment Forum (EAIF).

• The 2024 Energy Access Investment Forum (EAIF) is scheduled for 21-23 May 2024 at the Eko Hotels & Suites in Lagos, Nigeria. The event aims to host up to 1,500 delegates, with an expected attendance of 750 participants, split between 350 on-site and 400 virtual attendees.
• The event programme includes a two-track forum with panels, sessions, and networking from 21-22 May 2024, an evening reception on 21 May, and a dedicated 'Nigerian Renewable Energy Day' on 23 May featuring sessions on the Nigerian Renewable Energy Market. An exhibition will run throughout the entire three-day period.
• ARE is seeking a service provider to manage several logistical and branding tasks, including venue coordination, participant check-in and registration via the Bizzabo platform, the production and placement of branding materials, press conference logistics, and the provision of entertainment such as a DJ and local dance group.
• The required deliverables for the event include a wide range of physical assets and personnel, such as 10 ushers (half of whom must be bilingual in French and English), 10 security staff, 400 cotton bags, 400 A5 notebooks, 400 pens, and various branding items like stage banners, roll-ups, and lanyards.
• Eligible vendors must be duly registered and compliant with the legal and regulatory requirements of the Federal Republic of Nigeria. Proposals will be evaluated based on four equally weighted criteria: price, delivery, technical specifications, and past performance.
