Terms of Reference (ToR)

This document is a Terms of Reference (ToR) issued by the Alliance for Renewable Electrification (ARE) to procure audio-visual (AV) services for the 2024 Energy Access Investment Forum (EAIF). The forum is a global event focused on renewable electrification, scheduled for May 21-23, 2024, in Lagos, Nigeria.

• The Alliance for Renewable Electrification (ARE) is seeking an independent service provider to manage audio-visual requirements for the Energy Access Investment Forum (EAIF) 2024. The event will take place from 21-23 May 2024 at the Eko Hotels & Suites in Lagos, Nigeria, and is expected to host 750 participants, consisting of 350 on-site and 400 virtual delegates.
• The scope of work for the selected vendor includes direct coordination with the venue, the provision and operation of AV equipment for two separate tracks, and the employment of a professional videographer and photographer. Specific technical deliverables include live streaming, video control with three cameras per track, comfort monitors with timers, and the production of three short daily videos of one minute each.
• Eligible vendors must be duly registered and compliant with the legal and regulatory requirements of the Federal Republic of Nigeria. ARE will evaluate proposals based on four equally weighted criteria: price (lowest evaluated ceiling price), delivery schedule, technical specifications, and past performance.
• The payment structure for the contract is divided into three installments: approximately 25% upon contract signature, 25% by 31 April 2024, and the remaining 50% upon full delivery of services. All invoices must be submitted in Euros to the ARE office in Brussels, Belgium.
