Terms of Reference (ToR)

The Alliance for Rural Electrification (ARE) issued a Request for Proposals on 5 August 2024 for branding and catering services for the ARE Industry Action Dialogue & Reception, scheduled for 19 September 2024 in Brussels, Belgium.

• The Alliance for Rural Electrification (ARE) is seeking an independent vendor to provide branding, catering, and entertainment services for the ARE Industry Action Dialogue & Reception on 19 September 2024 in Brussels, Belgium. The event is expected to host approximately 100 participants and includes a member lunch, the Industry Action Dialogue 2024, and the "Electrify the Night" reception.
• The required deliverables for the vendor include corporate venue branding with lighting and decoration, a buffet lunch, a walking business dinner and drinks, badges for 100 people, a photo booth, entertainment, a DJ and sound system for 4 hours, and a photographer for 4 hours. An optional 11 x 6 m tent for the courtyard is also listed.
• Proposals were due by 25 August 2024, with a planned purchase order issuance date of 30 August 2024. ARE evaluates vendors based on four equally weighted criteria: price (lowest evaluated ceiling price), delivery (most advantageous schedule), technical specifications, and past performance in executing large-scale business events.
• The payment structure for the selected vendor consists of 50% of the contract value upon signature and submission of an approved invoice, and the remaining 50% upon full delivery of all services and submission of a final approved invoice. Payments are payable within 60 days of receipt and acceptance.
