Report of the Communications Task Force
Summary
The Report of the Communications Task Force (CTF), dated June 5, 2001, details the outcomes of a meeting held May 16-17, 2001, in São José dos Campos, Brazil. The report outlines updates on IAI publications, the redesign of the institutional website, the development of a long-term marketing strategy, and efforts to resolve chronic delays in the production of the IAI annual report.
Key insights
- The IAI is planning two publications for its science programs: one focusing on the CRN program and another on the ISP. Due to delays in collecting and standardizing information, the CTF plans to release an 'intermediary' publication on special IAI infosheet paper by July 2001, with the final English-only publication expected by October 2001 for the Human Dimensions Open Science Meeting.
- The IAI newsletter has undergone cost-reduction measures, including reducing length, using lighter paper stock (90grams/m2 instead of 120), and changing printers. These changes reduced the estimated budget for the new fiscal year to approximately US$ 45,300, a decrease of nearly US$ 8,000 from the previous US$ 53,187.
- To improve newsletter distribution, which was deemed ineffective in some member countries, the CTF recommended that the editor distribute the newsletter directly using mailing lists provided by country representatives, rather than sending packages to representatives for local distribution.
- The IAI is developing a new homepage to modernize the site and make it more attractive and easier to use. The estimated costs are US$ 250-300 for graphic design and US$ 1,000-1,500 for text edition, with a target operational date of mid-July 2001.
- The 1999-2000 annual report was delayed because articles from invited authors and the IAI Directorate were not received until April 2001. The IAI Director attributed this to priorities given to the administrative/financial and accounting division and the external auditors' report. The CTF strongly recommended that the Director prioritize the annual report to ensure timely publication.
- The CTF approved a theme for the 2000-2001 annual report titled “IAI Vision Strategy: Science that Serves Society,” with a goal of publishing by December 2001. However, this timeline depends on all materials being submitted by July 2, 2001, as the communications officer will be on maternity leave from mid-September 2001.
- The IAI is implementing a two-phase integrated marketing strategy: first, a diagnosis of the current situation, and second, the development of an integrated communication strategy. The diagnosis involves a quantitative study using bilingual (Spanish and English) email questionnaires targeting the scientific community, decision-makers, NGOs, scientific organizations, and donors.
